How do we book
the AC Roadshow?

Please note for large venues with capacities of 500+ or Marquees, we will need to ask you some more technical questions before we can give you an accurate quotation.
The AC Roadshow has a computer based booking system which tracks our customers booking from inquiry to completion.

All bookings are handled in the same way:

  • Customer inquiry by e-mail, phone or fax.
  • Booking is made by AC Roadshow taking details and entering them on our computer. These include name & address of the person making the booking, telephone number, date of event, venue, type of event, start and finish times.
  • The customer is then sent by post, a letter of confirmation and a booking form.
  • The customer must check the booking form and return it in the envelope provided to complete the booking
  • On receipt of the completed booking form, the customers details are confirmed on the computer and the booking is complete.
  • The computer files are backed up weekly and all bookings are hand written into a diary.

There are some very important things to consider when booking the AC Roadshow.

When selecting your venue for the party or event, think about access. The Roadshow has nearly 1 tonne of equipment, It is unlikely that we will accept the booking if the venue is upstairs and there is no lift available. We can however provide smaller mobile discos better suited if you really want the venue.

We need an hour to get into the venue and set up. This time can be reduced if access is good and we are familiar with the venue.

If you are booking a band as well as a disco think about the amount of space available and where you are going to put the band and disco.

Many venues are limited to 13amp sockets for power. If you want a big show with lots of lights, you need lots of power and special plugs. For example, for a big sound and lighting system you will need a 3 phase 63amp supply for the lighting and a separate 63 amp single phase supply for the sound. Sound complicated? We can advise you.

If you are planning to use a marquee for your event, power, lights, access, staging and more needs careful consideration. Talk to us first.

Keep the DJ informed about your event. A running schedule, a list of who's who, a playlist or any useful information that will let the DJ know what to expect during the night will help the night run smoothly.

For family events such as weddings, 21sts etc. If you want your party to finish on a high note whilst all your guests are still around, avoid finishing the event too late. Midnight to 12:30am from our experience is the best time to finish, after that people get tired and drift away and the event tends to fade to a close.

OUR BOOKING TERMS AND CONDITIONS
VERY IMPORTANT

Cancellations must be made in writing at least 30 days prior to the date of event. If you fail to cancel your booking in writing before this date you will be charged the full fee.

You are also responsible for any damage to our equipment caused by any person at your event. You will be charged for the full cost of any repairs required. You will be advised of any damage as soon as it is caused.

From past experience and at the minority of events we have been victims of anti-social behaviour. We do not tolerate violent, aggressive or abusive behaviour from anyone. We reserve the right to terminate our services at any time that we feel our personal safety is under threat.

You will be advised of any problems that we may have in this respect with any of your guests.
